How It Works

A short guide to every part of this site — what it's for and how to use it.

Front desk check-in Attendance → Check-In

Daily attendance, taken at the front door on an iPad or laptop. This is the tool Liz uses every morning.

  1. Tap the box next to a student's name to check them in.The row turns green and shows the time. Use the search box to find a name quickly.
  2. Click Finalize day once everyone who's coming has arrived.This locks the day and marks anyone not checked in as absent.
  3. Made a mistake after finalizing?Click Reopen day, fix it, then Finalize day again.
  4. Print the roster for a fire drill.Each class (or Print all classes) has a Print button. The printed page adds a Safe Zone column for the outside headcount — it's blank on screen and only appears on paper.
Sawyer's own check-in (used live at the front desk) stays the system of record. The Sync to Sawyer tab turns a finalized day here into a plain present/absent list for each Sawyer pod, so it's quick to match by hand.

Family Ledger

Every family's balance, built from Sawyer's order records.

  1. FamiliesSearch or sort by balance due; each card shows every child's payment schedule and the Sawyer order number it comes from.
  2. Payment CallsA printable list of who to call, sorted by soonest due date, with a CSV download.
  3. Paid in FullFamilies with nothing outstanding.

Analytics Family Ledger → Analytics

The semester budget: revenue, payroll against the 40% cap, rent, supplies and the summer reserve.

  1. Enter actualsUpdate rent paid, supplies spent, and reserve saved as bills are paid.
  2. Upload a weekly timesheetDrop in the payroll .xlsx/.csv to track actual vs. budgeted payroll.

Support Hub

Request forms for the common things staff need — add days, refunds, new orders, new pods, withdrawals, and more.

  1. Pick a request type and fill in the form.The student field autocompletes from enrolled students and shows their Sawyer orders.
  2. Money-related requests need approval first.Refunds, waivers, withdrawals, new orders, added days, payment-plan changes and scholarships are held until an approver signs off, before anything changes in Sawyer.
  3. Track it in the Request Queue.See status, who it's assigned to, and the full history. Each request type shows how to actually do it in Sawyer.

TutorBird upload Staff Portal

Turns a TutorBird EMA batch into dashboard updates and a Sawyer worksheet.

  1. Upload the TutorBird.xlsx reportFiltered to just the batch date(s) being submitted — it reads whatever's filtered in the file.
  2. Open the batch to review the plan.Each payment is matched to a student and applied to their earliest-due installment first, across all their orders.
  3. Approve & update dashboard.Balances update right away, and a step-by-step Sawyer worksheet appears (Receive Payment amount, then which installments to change).
  4. Check off each student once entered in Sawyer.Keeps the queue in sync with what's actually been done.
Uploading never touches Sawyer by itself — only Approve & update dashboard changes the dashboard, and the Sawyer worksheet is carried out by hand.
